Export Documentation India 2026 | Complete Checklist & Guide
Export Documentation India 2026 | Complete Checklist & Guide
Correct export documentation is the backbone of every successful shipment. Errors in documents cause customs delays, payment disputes, and regulatory penalties. This pillar guide covers every document required for exporting from India.
Why Export Documentation Matters
- Customs clearance at origin and destination depends on accurate documents
- Payment under Letter of Credit (LC) is document-driven
- Incorrect documents can lead to cargo detention and demurrage charges
- Regulatory compliance with DGFT, Customs, and RBI requires proper paperwork
Core Export Documents
1. Commercial Invoice
The primary document describing the goods, quantity, unit price, total value, buyer/seller details, payment terms, and Incoterms. Must match the LC terms exactly if payment is via LC.
2. Packing List
Details the contents of each package: item description, quantity, gross/net weight, dimensions, and package numbers. Used by customs and the buyer for verification.
3. Bill of Lading (Sea) / Airway Bill (Air)
Issued by the shipping line or airline. Serves as a contract of carriage, receipt of goods, and document of title (for negotiable BL). Critical for LC payments.
4. Shipping Bill
Filed on the ICEGATE portal with Indian Customs before export. Required for customs clearance at the port of export. Generates the Let Export Order (LEO).
5. Certificate of Origin (COO)
Certifies the country of manufacture. Required by importing countries for duty concessions under FTAs (Free Trade Agreements). Issued by DGFT, Export Promotion Councils, or Chambers of Commerce.
6. Packing Declaration / Phytosanitary Certificate
Required for agricultural, food, and plant-based exports. Issued by the Plant Quarantine Authority of India.
3. Insurance Certificate
Covers cargo against loss or damage during transit. Required under CIF Incoterms. Issued by the exporter's insurance company.
Financial & Payment Documents
- Letter of Credit (LC): Bank-guaranteed payment instrument. Documents must comply strictly with LC terms.
- Bank Realisation Certificate (BRC/eBRC): Proof of export proceeds received in foreign currency. Required for claiming incentives like RoDTEP and Duty Drawback.
- Foreign Inward Remittance Certificate (FIRC): Issued by the bank when foreign payment is received.
- Export Declaration Form (EDF): Filed with the bank for RBI compliance on export proceeds realisation.
Regulatory & Compliance Documents
- RCMC (Registration-cum-Membership Certificate): Issued by Export Promotion Councils. Required to claim export incentives.
- SCOMET Licence: Required for dual-use goods and technology exports (Special Chemicals, Organisms, Materials, Equipment & Technologies).
- Drug Licence / CDSCO NOC: Required for pharmaceutical and medical device exports.
- APEDA Registration: Required for agricultural and processed food exports.
